Q: What do we do if we do not have a social security number for a student? A: You no longer have to assign a social security number for a student. The New ACES system will not accept social security numbers starting with 999. For those students who do not provide you with a social security number, you can leave that field blank. ACES will warn you that you do not have a social security number entered and will ask you if you want to continue. It is recommended that you write down the tracking number that the system generates for that student to give you another way to search for that student besides just their name and date of birth. Q: I lost my training manual, how can I get another? A: You can download a copy of the training manual from the link above. Q: What do I do if I enroll a student in the wrong class code? A: This is a fairly simple fix. First thing you need to do is enroll the student in the correct class code. Then you can un-enroll the student from the incorrect class code by entering in a date in the un-enrollment date field of the enrollment screen. Remember if you un-enroll the student from the class and it is the only one they are currently enrolled in, ACES will automatically exit the student. If this happens, make sure you enroll them in the correct class and then remove the exit date from the Student Information screen. Q: Every time I try to use the enrollment screen it asks for "month hours accrued". What do I put if I'm not entering hours? A: The "month hours accrued" field on the enrollment screen is how ACES generates the inactive report that shows which students have been inactive for 60-90 days. So any activity, including enrolling and un-enrolling students on that screen needs to have a month entered. Q: I have a student that is enrolled in more than one class code. Do I need to enter their test scores in for each class? A: The test scores in ACES are associated with the students entire record, not by each class. So test scores entered for one class will be visible for all class codes he/she is enrolled in. There is no need to re-enter the scores unless it is a test score from another district and you want to use the scores in your district as well. Q: My student has test records from another district on the testing screen, can I use those tests? A: Yes, you can use test scores from other districts. You will need to re-enter the test scores in the testing screen so they can be used in your district. If they are not re-entered into your district then those scores cannot be used for calculating progression. Q: I see there is a field to put in a date for a Practice GED test. What is that for? A: Now with the New ACES, Practice GED tests can be used as a pre-test. This is to help the programs with their pre-test percentage that DESE requires. The Practice GED test cannot be used for progression. If the student returns to your program for further instruction, you must give them a TABE, CASAS or WorkKeys test to earn progression for the student. Their initial TABE, CASAS or WorkKeys test, would become their pre-test. You do not report Practice GED scores on ACES, just the date it was taken.
